Billing Walkthrough: Collect Payments Easier and Faster with Fewer Clicks

In today’s fast-paced legal environment, efficiency in billing and payments is crucial. LeanLaw’s recent webinar, led by Stacey Miles, our customer success manager, alongside Jay Sanchez, the support and success team leader, and Stephanie Watanabe from Confido Legal, provided a comprehensive walkthrough of our Lean Align billing workflow process. From global settings to payment flow customization and email settings, the masterclass showcased how law firms can streamline their billing processes and enhance client satisfaction.

Lean Align Billing Workflow Webinar

The webinar kicked off with an overview of LeanLaw’s global settings, laying the foundation for a smooth billing process. Stacey guided the attendees through the step-by-step process of reaching out to clients and managing payment flows. She emphasized the importance of tailoring the settings to the firm’s needs and encouraged attendees to adopt the Lean Align billing workflow for optimized operations.

Customizing Lean Law Invoices and Emails

A key highlight was the demonstration of custom invoice setups. Stacey underscored the importance of branding, from including the firm’s name as the sender to customizing the email subject line and body. Features like adding the firm’s logo and altering payment button colors were also discussed, providing firms with ample room for personalization. Jay recommended using email templates to give clients clear payment instructions, ensuring a seamless client experience.

Email Efficiency in Payment Collection

Efficiency in payment collection was another focal point. Stacey explained the advantages of emailing account balances and payment links directly to clients, eliminating the need for downloading attachments. Options for including expense attachments and sending various types of payment links were discussed. Stacey also introduced reminders for past-due payments and trust requests, enhancing the firm’s control over its collections.

Trust Requests and Invoice Management

Trust requests, used for obtaining initial retainer payments, were explored in depth. Stacey demonstrated the process of creating a trust liability account in QuickBooks, showcasing the integration between LeanLaw and accounting software. Managing invoices for multiple clients was also covered, with Stacey stressing the importance of transparent communication regarding payment options.

Managing Client Emails and Invoices

The webinar provided insights into managing client emails and invoices effectively. Stacey showed how to adjust email settings, send test emails, and track client interactions. She addressed concerns about bulk emailing and provided clarity on what clients see when they receive emails.

Confido Platform Demonstration and Concerns

The Confido legal platform was presented as a versatile tool for invoice payments, offering debit, credit card, and same-day bank transfer options. Stacey highlighted features like partial payments and automatic updates to QuickBooks records, reinforcing the platform’s efficiency. Jay shared his positive experiences with the platform and discussed challenges with manual invoicing and reconciliation.

New Reconciliation Process and Invoicing

A new reconciliation process was introduced, promising to save time and improve financial transparency. The team demonstrated this process using a practical example and addressed questions about sending multiple invoices in one email. They clarified that the product team is exploring this feature and discussed credit card payment fees.

Surcharging Process and Customization Options

The webinar also delved into the complexities of surcharging and customization. Stephanie explained the process of determining state-specific surcharging regulations, while Stacey elaborated on customizing global settings and payment links to suit client needs. The ability to brand the payment screen was also highlighted, ensuring a consistent firm image.

Managing Bank Accounts and QuickBooks

Stacey detailed the integration of LeanLaw with bank accounts and QuickBooks, explaining how payments are routed and how QuickBooks updates trust and liability accounts. The reconciliation process was outlined, ensuring that deposits match between bank accounts and QuickBooks, accounting for any surcharge fees.

Lean Law’s Efficient Multiple Invoice Payment Process

Addressing concerns about paying multiple invoices with a single check, Stacey explained how LeanLaw facilitates this process. Clients can use a full balance payment link, which automatically updates their account status in QuickBooks, enhancing efficiency and reducing client inertia.

Law Firm’s Automation and Human-Centric Strategy

The webinar concluded with a discussion on the balance between automation and a human-centric approach. By focusing on empathetic client interactions and automating routine tasks, a law firm was able to enhance client relationships and achieve top billing status in their state. Stacey addressed queries about surcharge and accounting processes, assuring attendees of continuous support.
